WestCoast Children’s Clinic is currently seeking a well-organized, highly efficient Receptionist to join our Admin Office and Facilities team. This is a high-contact, high visibility role that demands a client focused and solutions oriented person with confidence in taking on multiple tasks while working in a fast-paced, high-traffic area. The Receptionist is the first contact for many of our clients and is responsible for the overall appearance and accessibility of the client waiting areas, ensuring the safety and comfort of clients and visitors, greeting clients as they arrive, answering queries by phone and providing general support for the Office and Facilities Manager in a variety of exciting ways. The front desk is often a service hub for Clinical staff serving as a natural bridge with clients as they arrive and exit.
General job duties include clerical and administrative support for office staff, maintaining controlled workflow in a busy front desk area, ensuring all clients, callers and visitors are assisted in a timely and pleasant manner, greeting, directing or re-directing callers, providing information on services and support offered by WCC, assisting Office & Facilities Manager with various tasks including maintenance and organization of the office, purchasing and tracking of office supplies and inventory, organizing and distributing interoffice and incoming/outgoing mail, maintaining front desk protocol and procedures, also serves as first responder to client or visitor critical incidents occurring in lobby and waiting areas.
Our Ideal Candidate will have:
Impeccable professionalism with a customer service oriented disposition and a “can do” attitude, capacity to manage multiple tasks at once while working in a high stress, trauma informed environment, demonstrated reliability with time management, creative problem solving, proven understanding of client confidentiality and HIPAA, awareness and knowledge in issues of race, power and privilege with an ability to clearly express thoughts to others and exchange information effectively. Knowledge of MS Office Suite including Excel, PowerPoint, Google Calendar and Google Mail on a Mac OS platform. Associates or Bachelor’s Degree or relevant experience in administration (2+ years) required. Bilingual and biliterate in English/Spanish also required.
Salary and Benefits
This is a full-time, hourly (non-exempt) position reporting to the Office & Facilities Manager. $18.00+ per hour, depending on experience. Base salary plus performance based comp, comprehensive benefits package and 403(b) plan.
